Behind the Scenes of a Virtual Assistant’s Summer Season

What comes to mind when you picture a virtual assistant’s day? Constant notifications? Endless emails? Multiple tabs open at once and a large coffee close by?
While some of those assumptions may be true, there’s so much more happening behind the scenes, especially during the summer season.
Let me give you a little inside look into the day-to-day life of a virtual assistant during a season where business owners are traveling, schedules are constantly shifting, and some businesses slow down while others become busier than ever.
First... Coffee
The very first thing I do each morning (as everyone should) is make my large iced cold brew at home. During the summer heat, an iced vanilla latte is basically the only way I can fully wake up.
Once the coffee is made, the workday begins.
For most of our clients, mornings start with clearing inboxes, reviewing calendars, responding to urgent emails, and adjusting any schedule changes before the day fully gets going. This is usually the first touchpoint for every account — making sure priorities are organized and determining which tasks need immediate attention for each client.
Office Hours
Midday is usually one of the busiest times for virtual assistants because this is when most businesses are fully operating during office hours.
This is typically when we schedule client calls to discuss new projects, provide updates, share progress, and plan upcoming tasks. It’s also when a majority of emails, newsletters, invoices, and client communications are sent out throughout the day.
During office hours, priorities can shift quickly. One moment we may be organizing schedules and responding to emails, and the next we’re handling last-minute requests, adjusting calendars, or helping clients solve unexpected issues in real time.
A large part of the role is staying flexible while making sure everything continues running smoothly behind the scenes.
Closing Time
While many businesses are shutting down for the day, a virtual assistant’s work may still be in full swing.
After a summer walk or a quick jump in the pool, I’m often logging back in to manage vacation schedules, out-of-office communication, calendar changes, and behind-the-scenes tasks that help clients stay organized.
Many late-evening tasks include researching client travel plans, looking into speaking opportunities, sending daily reports, preparing to-do lists for the next day, and keeping up with client social media pages — all while enjoying my evening cappuccino.
Even when clients are in “summer mode,” staying proactive is key. A lot of the work happens quietly after hours, making sure the next day starts with clarity, structure, and fewer surprises.
Balancing Work + Summer Mode
While virtual assistants spend a large part of the summer helping clients navigate changing schedules, vacations, and busy seasons, we also understand the importance of slowing down and enjoying the season ourselves.
Many VAs are not only supporting businesses behind the scenes, but also managing families, running businesses of their own, or trying to create time for summer vacations, pool days, and moments to fully unplug.
Protecting your energy during the summer months is important for showing up as the best support possible for clients. Avoiding burnout and allowing time to recharge helps us stay proactive, organized, and fully present in our work for the rest of the year.
At the end of the day, balance is what keeps everything running smoothly behind the screen.
